What to Do If Your Flight Is Cancelled: A Practical Guide

Flight cancellations are disruptive but manageable. Here's what to do — including what happens to your airport transfer booking.

Flight cancellations are disruptive but more manageable than many passengers realise. Here's a practical guide to what to do — and what your rights are.

Immediate Steps When Your Flight Is Cancelled

Step 1: Don't queue at the gate. The gate queue after a cancellation will be very long. Call the airline's customer service number immediately instead — you'll often get resolution faster.

Step 2: Know your rights. Under UK261 (the retained EU regulation that still applies post-Brexit for flights departing UK airports), you are entitled to: - A full refund or rebooking on the next available flight - Care and assistance (meals, refreshments, hotel if overnight stay required) if delayed at the airport - Compensation of £220–520 depending on flight length and delay duration, if the cancellation was within the airline's control

Step 3: Get written confirmation. Obtain a written cancellation notice from the airline — you'll need this for any insurance or compensation claim.

What Happens to Your Transfer Booking

If your outbound flight is cancelled and you call us as soon as you know, we will: - Rebook your transfer for the new flight date at no amendment fee - Refund or hold the fare depending on your situation

Call us on 01293 972472 as soon as the cancellation is confirmed. The sooner we know, the more easily we can rearrange.

If the cancellation happens while you're en route to the airport in our vehicle — an unusual but possible situation with late-notice cancellations — your driver will bring you home at no additional charge.

Cancellations Affecting Return Transfers

For inbound cancellations (where you're stuck abroad and your return flight is cancelled), your driver was scheduled based on the original flight. Again, call us as soon as you know — we'll hold your booking and rebook for the rescheduled flight time.

Claiming Compensation

For UK261 compensation claims: 1. Submit your claim directly to the airline first 2. If refused or ignored after 8 weeks, escalate to the relevant ADR (Alternative Dispute Resolution) scheme — CEDR or Aviation ADR 3. For straightforward cases, many claims management services operate on a no-win-no-fee basis (typically taking 25–30% of the compensation)

Insurance

Travel insurance covering cancellation is worth having, particularly for expensive long-haul trips. Most policies cover non-refundable costs including airport transfers — keep your transfer receipt.
