How our Heathrow meet and greet service works — where to find your driver, how long to wait, and what happens if your flight is delayed.

Our meet and greet service is included as standard on all Heathrow arrivals transfers. Here's exactly how it works, so you know what to expect before you land.

What is Meet and Greet?

Meet and greet means your driver comes inside the airport terminal to meet you personally in the arrivals hall — not waiting outside in a car park. You exit customs, clear the arrivals hall doors, and your driver is waiting with a board bearing your name.

This is the most important part of the service for returning travellers. You don't need to find a cab rank, negotiate with a minicab, or figure out which shuttle to take to a car park. You exit, you see your name, and you're in the car within minutes.

Step by Step: What Happens

1. We Track Your Flight

From the moment you book, we have your flight number on file. On the day of your arrival, our system monitors your flight in real time using live flight data. If your flight is delayed — even by two hours — your driver's schedule is updated automatically. You don't need to call us.

2. Your Driver Departs to Heathrow at the Right Time

We calculate the driver's departure based on your actual landing time, not your scheduled time. This means your driver is always there when you land, without having been waiting for hours in a car park.

3. Arrivals Hall Positioning

Your driver will position themselves in the main arrivals hall for your terminal, holding a clearly visible board with your name. The exact meeting point varies by terminal:

- **T2:** Arrivals hall, ground floor, exit from customs - **T3:** Arrivals hall ground floor — follow exits from baggage reclaim - **T4:** Arrivals hall ground floor - **T5:** Arrivals hall ground floor — there can be a longer walk from the gate to arrivals, so don't worry if it takes 20–30 minutes after landing

4. 60 Minutes of Free Waiting Time

We include 60 minutes of free waiting time from your actual landing time. This covers typical immigration and baggage reclaim times. Heathrow immigration can occasionally be slow — if for any reason you're going to be longer than 60 minutes, please call us on 01293 972472 so we can inform your driver.

5. If You Can't Find Your Driver

Call us immediately on 01293 972472. Our control desk operates 24/7 and can locate your driver within seconds. In most cases, a brief description of your location in the terminal and your driver's vehicle registration resolves any issue in under two minutes.

What to Do When You Land

1. Turn on your phone as you taxi to the gate 2. Check for any messages from us (we send an SMS confirmation when your driver is en route) 3. Clear immigration and baggage reclaim at your normal pace — don't rush 4. Walk into the arrivals hall and look for your name board
